Email one donor a tax statement or dashboard invite

Send a single donor their giving statement any time of year, or email a contact a link to activate their donor dashboard. Both live on the contact's own page.

The annual tax receipt send emails every prior-year donor at once, and only between January and April. When one donor writes in outside that window, or a donor cannot find their way into their dashboard, you can email them on their own.

Both actions are on the contact's page. Go to Contacts, open the contact, and look at the blue Actions card in the right column.

Send one donor their tax statement

Select Send Tax Statement, then confirm.

The donor gets the same email the annual batch sends: a link to sign in to their Donately donor dashboard, where they can view, print or save their giving statement. The statement covers every gift they made to your organization in the tax year.

Three things to know:

It is always the previous calendar year. The button names the year it will send, and there is no year picker. For a statement covering a different period, export the donations instead: filter Donations by Gift date, then use Export. See How to export data.

There is no seasonal window and no once-only limit. Unlike the annual batch, you can send this in July, and you can send it again if the first one went astray.

The contact needs at least one recorded donation. If the button is greyed out, this contact has no gifts on file with your organization, so there is nothing to put on a statement. Cheques, cash and in-kind gifts count, but only if they were recorded in Donately. See Record a donation by hand.

Invite a contact to the donor dashboard

Select Send Dashboard Invite, then confirm.

This emails the contact a link to activate their account at my.donately.com, where they can see their giving history, manage a recurring gift and print their own statements whenever they want, without asking you.

Unlike the tax statement, this works for any contact with an email address, including someone imported from your CRM and someone running a fundraiser who has never given. There is nothing to set up first.

If the contact has signed in before, the button reads Resend Dashboard Link instead. Use it when someone says they cannot get in: it sends the same link again rather than creating a second account.

Confirm it was sent

Both emails appear in the Email History card further down the same contact page, labelled Tax Statement and Dashboard Invite. If a message bounced or failed, you will see it there, which usually means the address on file is out of date.

The account-wide view is under Contacts then Communications, where you can filter by email type.

When to use which

  • "Can you send me my receipt for last year?" → Send Tax Statement.
  • "I never got a login" or "how do I see my donations?" → Send Dashboard Invite.
  • "My receipt for one specific gift was wrong" → open that donation and use Resend Receipt instead. See Donation receipts.
  • Everyone who gave last year, all at once → the annual tax receipt send.

These buttons are available to account owners and admins.
