Connect HubSpot to sync donors and donations
Connect Donately to HubSpot, choose the pipeline, deal stage and contact email property, and check what has synced.
Donately's HubSpot integration creates and updates a Contact for each donor and a Deal for each gift, so you can track giving, segment donors and email them from HubSpot.
Connect
- Go to Integrations and open HubSpot. You will see HubSpot isn't connected yet.
- Select Connect HubSpot. There is no environment or portal choice on the Donately side: HubSpot asks which portal to connect once you get there.
- Sign in to HubSpot and approve the requested access. Donately asks for read and write on contacts and deals, their schemas, and your currency settings, so it can create the Donately properties it needs.
- HubSpot returns you to the integration page.
Configure
Once connected, the Configuration accordion appears. Every section is closed by default, and one Save changes button at the bottom saves all of them.
Connection shows the connected user and the HubSpot portal, and holds Reconnect HubSpot for refreshing access or switching to a different portal.
Deal pipeline & stage is the section most orgs need to set.
- Pipeline is a dropdown loaded live from your connected portal. Choose a pipeline, or Ignore pipeline & deal stage to skip setting either. If Donately cannot reach HubSpot for the list, the control falls back to a plain text box where you can type a pipeline id.
- Deal stage is the stage used for one-time donations.
- Recurring donation deal stage is an optional override for recurring gifts. Leave it blank and recurring gifts use the stage above.
Contact email property decides which HubSpot property receives the donor's email. The default writes the contact's primary email. Choose Work email or a custom property if you do not want Donately overwriting primary emails that came from somewhere else. A custom property has to already exist in HubSpot, or the sync fails.
Advanced holds a JSON box for overriding the default field mapping, keyed by Contact and Deal. Leave it blank to use the defaults.
What gets written to HubSpot
Each donation creates a Deal, and each donor a Contact. Alongside the standard HubSpot fields, Donately writes its own properties, grouped under Donately Properties on both objects: the Donately donor and donation ids, the amount, currency, status, processor, date, whether the gift was recurring or anonymous, the campaign and fundraiser it belongs to, and the subscription details for recurring gifts.
To see these on your records, open your Deal property settings in HubSpot, find the Donately Properties group, and add the ones you want visible on a Deal. The full, current property list is in the developer documentation.
There is no visual field mapper, no sync-direction setting, no sync-frequency setting and no bulk backfill of historical donations. The objects synced are fixed at Contacts and Deals, and the sync runs as donations and subscription changes happen.
Check that it worked
Make a small test donation, then look at the integration page. See Create a test donation.
The header carries a status badge: Active, Suspended, Setup incomplete or Connection error. Recent Activity on the right lists sync events, and expanding a row shows the time, the error or warning type, and links to the donation and donor. A failed row offers Re-run this sync.
To get these events by email, use the Get these events by email card, which takes you to your notification settings.
Pause or disconnect
Suspend syncing in the header stops new donations and donors flowing to HubSpot while keeping your configuration. Resume syncing starts it again.
Disconnect is in the Danger zone section at the bottom of the configuration. It stops syncing immediately and removes the connection. Data already in HubSpot is not deleted.
