Match a Stripe payout to your donations

Use Stripe's payout reconciliation report to see which donations, fees and refunds make up each deposit to your bank, then match them to your Donately donations.

Your dashboard2026 dashboard

Each deposit from Stripe is one line on your bank statement, but it holds many donations, less fees and any refunds. Stripe's payout reconciliation report breaks a payout into those parts, and every donation in it carries its Donately donation ID, so you can match each line back to the gift in Donately.

A payout reconciliation report inside Donately is planned. Until it ships, this is the way to tie a bank deposit to the donations behind it.

Before you start

You need your own Stripe sign-in. Donately connects to your Stripe account, but your payouts, bank details and reports stay in Stripe at dashboard.stripe.com.

Your payouts need to be automatic. That is Stripe's default. Stripe can only break down automatic payouts. If you send payouts yourself (manual payouts), Stripe cannot tell which donations went into each one, and its Balance report is the closer fit. You can check which you use in your Stripe payout settings.

PayPal donations are not in Stripe payouts. They go to your PayPal balance, so reconcile them from PayPal. Cash, check and other gifts you record by hand are not in Stripe payouts either.

Find the payout

  1. In Stripe, open the payout reconciliation report.
  2. Set the date range to include the day the payout was expected to arrive. Stripe groups payouts by expected arrival date, not the day your bank posted the deposit, so widen the range if you are not sure.
  3. Find the payout in the Payout reconciliation section. It shows totals by category, such as charges, refunds and fees.

Download the donations behind it

  1. Click Download on the Payout reconciliation section.
  2. Choose Itemized, which lists every transaction rather than the totals.
  3. Choose All columns. Donately's fields are listed under Metadata.
  4. Download the CSV.

The columns that matter

Column What it holds
automatic_payout_id The payout. Filter on it to see one deposit.
reporting_category What the line is: charge for a donation, or refund, dispute and so on
gross The amount the donor gave, or the amount refunded
fee Stripe's processing fee plus Donately's platform fee
net What reached your bank for that line: gross minus fee
payment_metadata[donation] The Donately donation ID, starting with dnt_
payment_metadata[campaign] The Donately campaign ID, if the gift was to a campaign
payment_metadata[fundraiser] The Donately fundraiser ID, if the gift was to a fundraiser

The net column for one payout adds up to the deposit on your bank statement.

Custom fields on your donation form, such as a fund dropdown, are usually sent to Stripe as well, under the field's name, and appear among the metadata columns. Stripe lists at most 100 metadata fields in a download, so an account with a great many custom fields may not see all of them.

Match the lines to your Donately donations

  1. In Donately, export your donations for the same dates and include the Donation ID column. See Export your data to CSV.
  2. In a spreadsheet, match payment_metadata[donation] in the Stripe file to Donation ID in the Donately file, for example with XLOOKUP or VLOOKUP.

Each line of the payout now has its donor, campaign and custom fields beside it.

Why the deposit differs from your donation list

Fees come out before the deposit. Many accountants record each donation at its full amount and the fees as an expense, rather than recording only the deposit. Ask whoever keeps your books which they prefer.

Refunds and disputes come out of the payout they happen in. That can be weeks after the original gift, and a payout with more refunds than donations can be negative.

Donations near a payout's cutoff land in the next payout. A gift made late in the day may not appear until the following deposit.

Lines with no Donately donation ID are other Stripe activity. That covers sales you take outside Donately and any referral commissions Donately paid you.

If Donately bills your platform fees monthly, they are not taken from each payout, so the fee column holds only Stripe's fee.
